This Privacy Policy describes how InterviewHelpAI ("we", "us", or "our") collects, uses, discloses, and protects your information when you use our website and desktop application (collectively, the "Services"). If you have questions, contact us at interviewhelpai@gmail.com.

Summary

  • We collect account data (email, display name) via Firebase; we may record device metadata (device ID, name, OS) and IP address when you log in to the desktop app for security, analytics, and fraud prevention.
  • We process payments through Razorpay. Razorpay may request your phone number to send transactional updates. We do not store your phone number in our database.

  • We do not store your audio streams, transcripts, prompts, or AI outputs on our servers. These are processed transiently and kept only in the desktop app’s local session (not persisted) unless you choose to export or save locally.

Information We Collect

Information you provide

  • Account data: Email address and display name collected via Firebase Authentication (Google Sign‑In or email route).
  • Support messages: Content you send to our support email.

Information we collect automatically

  • Device and log data: IP address, device identifiers, OS, app version, timestamps, and diagnostic information to maintain security and improve the Services.
  • Desktop‑app device info: Device ID, device name, operating system for account security, analytics, and license management.
  • Web analytics: Google Analytics collects usage data about our website to understand visits and improve experience.

Payments

We use Razorpay to process subscription payments. Payment instrument details are handled by Razorpay. Razorpay may request your phone number to deliver transactional notifications. We do not store your phone number in our database, though it may be visible to us in Razorpay’s dashboard.

Transcription & AI

Live transcription is provided by Deepgram via our Cloudflare proxy and by directly from your device via Google Gemini Live. Audio is streamed for real‑time processing and not stored on our servers. AI responses are generated by third‑party providers (OpenAI and Google Gemini). We do not persist your AI prompts or outputs on our servers. Providers may receive and process your inputs/outputs solely to provide the requested functionality per their terms and privacy policies.

How We Use Data

  • Provide, operate, and maintain the Services and your account.
  • Authenticate users and manage subscriptions and access.
  • Process payments and send transactional notifications.
  • Monitor performance, debug, and improve features.
  • Detect, prevent, and address fraud, abuse, or security issues.
  • Provide support and respond to inquiries.
  • Comply with legal obligations and enforce our Terms.
  • With your consent, send marketing or product updates.

Legal Bases

Depending on your location, we rely on consent, performance of a contract, compliance with law, and our legitimate interests (such as to secure and improve the Services) as lawful bases for processing.

Sharing of Data

  • Service providers: Firebase (Google), Razorpay, Vercel, Cloudflare, Deepgram, Google Analytics, PostHog, OpenAI, Google Gemini, and similar vendors who process data on our behalf.

Cookies & Tracking

We use cookies and similar technologies on the website for functionality and analytics (Google Analytics). You can control cookies via your browser settings; disabling cookies may affect some features.

Data Retention

We retain personal data as long as necessary to provide the Services, comply with our legal obligations, resolve disputes, and enforce agreements. Live transcription streams, transcripts, and AI prompts/outputs are not stored on our servers; they remain only in your desktop app’s local session memory unless you export/save them locally.

Security

We use reasonable technical and organizational measures to protect your data. However, no method of transmission or storage is 100% secure. Use the Services at your own risk and avoid sharing sensitive personal information in prompts or audio unless necessary.

International Data Transfers

Our infrastructure and vendors may process data in India and other countries. By using the Services, you understand that your data may be transferred internationally in accordance with this policy and applicable laws.

Children

The Services are not directed to individuals under 18. We do not knowingly collect data from children. If you believe a minor has provided us data, contact us and we will take appropriate action.

Your Rights

Depending on your jurisdiction, you may have rights to access, correct, delete, or object to certain processing of your personal data, or to withdraw consent. To make a request, email interviewhelpai@gmail.com. We will respond consistent with applicable law.

Account Deletion

You can permanently delete your account from the desktop app after logging in. Account deletion is irreversible and will remove your profile data, authentication linkage, device records, and subscription metadata stored in our database. After deletion, you will not be able to access your account again.

  • Active subscriptions: Deleting your account immediately cancels and removes any active plan from our systems. We do not issue refunds for user‑initiated account deletions.
  • Backups & logs: We will delete active records promptly. Certain data may remain in encrypted backups or logs for a limited time and will be purged in the ordinary course of our retention cycles.
  • Payment records: Razorpay maintains its own transaction records and receipts for regulatory and operational reasons. Deleting your account with us does not delete Razorpay’s records.
  • Aggregated analytics: We may retain de‑identified or aggregated analytics that cannot reasonably identify you.

Do Not Track

We do not respond to Do‑Not‑Track signals. You can control cookie preferences in your browser.

Google APIs

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Changes

We may update this Privacy Policy periodically. We will update the “Last updated” date when changes are made. Continued use of the Services after changes means you accept the revised policy.
